WyeMTB – Terms and Conditions of Booking

  1. Acknowledgement of Risk

By booking and participating in a WyeMTB course or activity, you acknowledge that mountain biking and related activities carry inherent risks. These risks cannot be entirely eliminated but will be managed appropriately by our qualified instructors in line with current best practice and health and safety standards. Risk assessments are available upon request.

Participants accept that they engage in these activities at their own risk.

  1. Bookings and Payments
  • A non-refundable deposit of 10% of the total activity cost is required at the time of booking.
  • The remaining balance must be paid no later than 10 days prior to the start date of the activity.
  • A booking is not considered confirmed until the full balance is received, unless otherwise stated in writing by WyeMTB.
  1. Equipment Requirements

3.1 Mountain Bike

  • If you are providing your own mountain bike, it must be in safe, serviceable condition.
  • We recommend visiting a local bike shop for a service if you are unsure about its suitability.
  • On the day of the activity, your instructor will perform a safety check of your bike. If the bike is deemed unfit for use, you will not be permitted to participate, and no refund will be issued.

3.2 Helmet

  • All participants must wear a Cycling helmet (Kite marked CE EN1078)
  1. Medical Information
  • You must provide accurate and complete medical information as part of your booking.
  • This information is required to assist in managing your safety during the activity.
  • It is extremely unlikely that a medical condition will prevent participation; however, we must be informed to make appropriate arrangements.
  1. Media Use – Photography and Video
  • WyeMTB may take photographs and video recordings during courses for marketing, promotional, and social media use.
  • If you do not wish to appear in any media, you may opt out by ticking the relevant box on your booking form or informing us in writing.

 

  1. Liability
  • WyeMTB does not accept liability for loss or damage to personal belongings, or for personal injury, unless it is caused by negligence on the part of our instructors or guides.
  1. Cancellations by WyeMTB
  • WyeMTB reserves the right to cancel or reschedule activities due to:
    • Adverse weather conditions
    • Instructor illness or availability
    • Unforeseen circumstances
    • Failure to meet minimum group numbers
  • In such cases, we will offer:
    • An alternative date, or
    • A full refund, if you choose not to reschedule
  1. Cancellations by Participants

If you cancel your booking and an alternative date cannot be arranged, the following refund structure applies:

  • More than 4 weeks before the course: Full refund minus 10% booking/admin fee
  • 7 –31 days before the course: 50% of the course fee refunded and the 10% Booking / Admin fee
  • 7 days or fewer: No refund will be given
  1. Agreement

By completing your booking either as a paid invoice or paying on the website, you confirm that you:

  • Have read and understood these Terms and Conditions
  • Accept the risks associated with mountain biking
  • Agree to provide accurate personal and medical information
  • Will comply with all safety instructions provided by WyeMTB instructors and staff
